Share links let anyone open a single Library file — a master, a piece of artwork, a video cut — without needing a Collabhouse account. You stay in control: you can expire the link, cap downloads, and turn it off at any time.

Quick answer

In the Library, open the three-dot menu on the file and choose Share. Set how long the link should work and how many views or downloads you'll allow, then copy the link and send it. Anyone with the link can open it; nothing else in your Library is exposed.

Step-by-step

  1. Go to Library and find the file you want to share.

  2. Click the three-dot menu on the file (top-right on grid view, end-of-row on list view).

  3. Choose Share. The share dialog opens.

  4. Set the link's limits. Each is optional:

    • Expires at — a date after which the link stops working.

    • Max views — how many times the file can be opened in total.

    • Max downloads — how many times it can be downloaded.

    • Password — require the recipient to type a password to open the link.

  5. Click Create link and copy the URL.

  6. Send the link by email, message, or however you usually share with the collaborator.

What the recipient sees

Opening the link shows a clean page with just that one file — your name (or your artist name) as the sender, the file title, and buttons to Preview or Download depending on the limits you set. They don't see anything else in your Library, your other releases, or your account.

If the link is password-protected, they're asked for the password first.

Receiving shares from other Collabhouse users

If another Collabhouse user shares a folder with you (not a single file), it shows up in Shared with me. You'll see two states there:

  • Pending — a folder someone has invited you to. Click Accept to add it to your workspace, or Reject to decline.

  • Accepted — folders already in your workspace. Click one to open it.

Accepted shared folders open inside your Library under All files.

Common problems

  • "This link has expired" / "Link is no longer active" — The expiry date passed, the view/download cap is hit, or the sender turned the link off. Ask them for a fresh link.

  • The recipient is asked for a password and you didn't set one — That's a different link or a stale browser cache. Send them a freshly copied URL.

  • You want to revoke a link you already sent — Open the file's three-dot menu again and turn the share off, or set its expiry to the past.

  • Pending share never arrived in "Shared with me" — Confirm the sender used the email that matches your Collabhouse account.
